Pay teachers a share of class takings

Set each teacher's rate, see what they earned each pay period, and send and track their statements.

Slate works out what each teacher earned from the classes they taught, using the bookings recorded for those classes. It only counts classes that have already happened and that have a teacher set (see the guide Create your classes and prices). Slate doesn't pay anyone: you pay your teachers the usual way, and Slate keeps the record.

Set a teacher's rate

  1. In the sidebar, open Staff, then the Team tab, and click Profile next to the teacher.
  2. Make sure Teaches classes is ticked.
  3. Under Pay for classes, set their Usual rate: a share of takings (for example 60%), or a fixed amount per class.
  4. If they're paid differently for one kind of class, click + Add a different rate for a class type, pick the class and set its rate. That rate is used for that class instead of the usual one.
  5. Click Save profile.

A new rate applies to classes from today. To correct an earlier rate, change Changes apply from to the date it should have started. Classes before that date keep the rate they had, and Rate history shows every change, when it applies from and who made it. Only Admins and anyone with the View financials permission can see or change rates.

Nobody except the Admin can change their own pay. That covers their rate, adjustments for themselves, sending their own statement, and marking it paid or unpaid. A Manager also can't move a class that has already happened onto themselves.

Choose your pay period

On the Teacher pay tab, the line under the period picker says how often you pay teachers. Click Change to pick weekly, fortnightly or monthly, and the day your weeks start on. For fortnightly, also pick the day the current fortnight started, and Slate carries on from there.

See what everyone earned

  1. In the sidebar, open Staff, then the Teacher pay tab. It opens on your last pay period that has finished.
  2. Pick another period under Period, or Custom dates.
  3. Click a teacher's name to see each class they taught, with its takings and their pay.

If some classes in the period have no teacher, a warning lists them with a link to each one in the calendar, so you can set who taught it.

Which bookings count

  • Card, cash and other payments count at what the customer actually paid, after any discount code and any refund.
  • A late cancellation counts when you kept the money. If you refunded it, in full or in part, the refund comes off.
  • Gift cards a customer paid for count in full. Gift cards you issued from the dashboard count as £0 when they're spent, because the studio never took that money. Your revenue reports use the same rule.
  • If a customer cancels and gets a gift card instead of a refund, the class they cancelled keeps the money, so its teacher is paid for it. When they spend that gift card on another class, it counts as £0 there, so the money is only counted once.
  • Free places (bookings you added with no payment) count as £0.
  • A class pack or membership credit counts at what the customer paid for the pack or membership period, divided by its number of credits. A £150 pack of 10 is worth £15 a class. Packs you gave away count as £0.
  • Draft and cancelled classes never count.

A share of takings is worked out class by class and rounded to the nearest penny. A fixed amount is paid for every class taught, even if nobody booked.

Adjustments

To add something extra, like cover for a workshop, or to take something off, click + Adjustment on the teacher's row. Enter the Amount (£) (use a minus sign to take money off) and a Reason, then click Add adjustment. Adjustments show in the totals, on the statement and in the CSV. Once a statement for that period has been sent, an adjustment can't be removed. Add another one to correct it, so the record shows both.

Send a statement

Once a period has finished, click Email statement next to a teacher. Check the email address it shows, then click Send statement. Each statement gets its own number, like MY-0001. Until the period ends, the button says when it does.

After a statement is sent, the page shows its figures exactly as sent. If something changes later, such as a refund or a new adjustment, the row shows the new figure next to the one that was sent. Click Send updated statement to send a new version, which replaces the old one. A teacher who taught a class on a sent statement can't be swapped for someone else on that class.

Mark as paid

When you've paid a teacher, click Mark as paid on their statement, check the date under Paid on, pick how you paid and click Mark as paid. It's only a record. If you marked one by mistake, open it from the History tab and click Undo paid.

If you send an updated statement after the old one was marked as paid, nothing is lost. The new statement shows Already paid and the Balance still to pay, on the page, in History, in the email and in the pay run summary. Marking the new one as paid records the balance. The old statement stays in History as Paid (replaced by ...). If the figures went down, the balance shows how much the teacher was overpaid.

History and CSVs

  • The History tab lists every statement, newest first. Click one to see it exactly as it was sent, send it again with Send again, or mark it paid.
  • Download CSV gives a spreadsheet of every class, adjustment and total for the period on screen.
  • Pay run summary gives one row per statement sent for periods starting in the dates on screen, with the takings, adjustments, pay, anything already paid on an earlier version, the balance, and when it was sent and paid. It's the one to send your accountant.
